Profile: Ilerda Serveis is a small enterprise which was founded in 1988 by the father of the present Managing Director and Proprietor, Marc Cerón. The business began with the distribution of cleaning products from the old brand Camp, targeted to large professional consumers in Lleida and throughout the province.

Objectives: To take the leap from a small to a medium sized enterprise, with global and exhaustive control of operations, making it easier for the management and human resources teams to take decisions on the company administration.

In 2006, Ilerda Serveis took a business leap forward which coincided with significant organic growth in the structure and the business, as well as the opening of new premises in the Camí dels Frares Industrial Estate in Lleida. Today, Ilerda has a workforce of 20 employees who are active, in addition to Lleida, in the provinces of Huesca and Tarragona, achieving an annual billing of 3.5 million euro.

A development warranted by quality of service brought Ilerda Serveis, in 2013, the Prize for Best Cleaning Products Distribution Company 2013 in Spain. The firm has a team composed of professionals with various profiles: sales, logistical and technical staff, fundamentally; and, among its customers, there are many in the hotel and catering sector, cleaning companies, residences, geriatrics, laundries, schools, clinics and food and agricultural industries. Their catalogue offers a range from chemical products for industrial cleaning, cellulose products and cleaning tools, to cleaning machinery and disposable items.

Background


Before the implementation of Sage X3, the company worked with the Sage Logic Class ERP; a system which, as the proprietor, Marc Cerón, told us, enabled them to embark on a successful process of expansion and growth in a period marked by the economic crises of recent times. “We have doubled our billing since 2007 and, since the installation of the new Sage X3 with Aritmos, we propose to go for significant growth in the coming years on the level of financial results, expanding our market zone to new sectors such as the food industry, taking a leap towards covering new geographical areas such as the company's recent entry into the distribution of products to large-consumption enterprises in Tarragona and its province".

As Marc Cerón says, the change to Sage X3 has allowed the organization to choose a computer solution prepared to drive a scale of business which will enable them to move up from being a small enterprise to being one of medium size. This is thanks to a good technological base, solid and modular which, as Cerón says, will allow them to implement tomorrow logistical and commercial solutions, technical assistance services and with other valuable factors which will help to make the IT system grow at the same pace as the company is growing organically.

Technological challenges


In 2008, the company Ilerda Serveis asked for the programme to be totally adapted to the company's operations in all departments simultaneously; a process which would lead them, as the proprietor said, to generate a profit which would be somewhat lower than their objectives when showing, precisely, ordinary indicators of operating capacity in the organization. To obtain real and reliable information on its processes and operations, especially on the activities going on from day to day, was the fundamental objective set by this Lleida company, while the performance of data stored in some platforms the legacy of the organization were causing “rumblings” which came into conflict with certain methodologies of analysis and BI in the new system; which is why the firm decided to start “from zero” at the beginning of 2015. Thus, based on the installation carried out by Aritmos in Ilerda Serveis during 2014, in order to start working with the new system from the first of January 2015, Sage and the integration firm Aritmos proposed to Ilerda Serveis

to set up a process to adapt the computer solution to the marketing company's operations in a modular and gradual way, by creating a committee led by the company administration manager, which would work on the implementation of the basic structure of the programme so that, year by year, it would incorporate other management areas, taking their specific features into account.

The start of the project


On the first of January 2015 Ilerda Serveis began business management with the new Sage X3 ERP, implemented by the technological consultant Aritmos, beginning in this way the process of integral management of company business that the current proprietor had in mind. With this integration, Ilerda Serveis has gradually been optimising the management processes in various business areas of the organization, improving the daily administration. The final aim of this technological updating is based on improving the company's competitiveness, speeding up its processes and making its everyday tasks more efficient.

With the installation of the basic Sage X3 system, Ilerda Serveis already had the tools for management of purchases, sales and accounting, starting from zero and leaving aside the historical records in the previous platform. Eighteen months after the start-up of Sage X3, the company is pleased to be able to have reliable historical information on purchases and sales, and the possibility of obtaining fundamental indicators for its business at the level of average prices, margins, and other valuable data that X3 is capable of providing for organizations.

A year after integrating the basic Sage X3 application into the operations of Ilerda Serveis, that is, at the beginning of 2016, the marketing firm successfully started exploitation of the platform which was to optimise notably the sales area, bringing in mobility, through a solution which connects directly with the Sage X3 system and enables the sales force to work online through their mobile devices.

In this way, these professionals have precise information and support when making orders, consulting the stock and managing collections, among many other functions. Thus, the Ilerda Serveis sales force can operate with iPads and iPhones by Apple, connected to Sage X3, from which they can get detailed information in real time on what each worker needs at moment. In the Camí dels Frares Industrial Estate in Lleida the company has fibre optic connection, in this way avoiding problems related with availability of the network. For 2017, the distributor is planning to incorporate the logistical platform and make it also accessible from mobile devices and applications, with the aim of managing the whole of the company warehouse from a smartphone or tablet. 2018 will be, according to the business owner, a period for the integration of a platform for services of technical assistance.

In aspects related with the company's process of digital transformation, Marc Cerón sees it very clearly: “We are an enterprise 2.0 online which always invests and innovates in everything relating to new technology. We have an engine for a transatlantic, but we are operating as an outboard. This means that, if we go on extending structures, departments, workforce, areas and new customers, the company will have a good base and will be ready to grow. This is the principal point in our favour”.

A future which passes by optimization in all parts of the enterprise


The next step to take, according to the proprietor, is the start-up of a system for technical and precise analysis which will produce a reliable X-ray of the state of the whole company, with the aim of obtaining real information on what is happening in the enterprise at any time. In the area of purchases, today the company knows very well how to manage the times of delivery from suppliers, minimum orders and rotation of the firm's products, on the basis of historical records from last year, among other information.

Also, the Ilerda sales department has online data in real time relating to the margins with which they work, with indicators which measure aspects such as the productivity of each employee, the routes taken, the effectiveness of logistics with respect to needs raised by the sales area, the state of each customer and data on payments, stocks of products, while also providing information on the most recent deliveries, among other data. They also have the tranquillity of knowing that their ERP is ready to be adapted to new solutions, as has been the case of the installation of Voxel software for connections between customers and suppliers in hotel and catering.

In the area of accounting, Ilerda bases the company's operations on the General Accounting Plan while, in the sales department, the employee has information on his weekly activities, the prices of products and their rotation, among other indicators. “We have a particular individuality in our product pricing operation, which both X3 and Aritmos knew how to adapt to our needs for successful installation in the company”, points out Marc Cerón.

The Sage X3 software, adjusted by Aritmos for the most individual specificities of the marketing firm, will allow the company to have global and exhaustive control of its operations, making it easier for the management and human resources teams to take decisions on the company administration.

As well as the operational installation and starting up of the Sage X3 management solution, Aritmos has dealt with training the users and with technical maintenance of the solution.

In the medium term future, Ilerda Serveis envisages carrying out an IT plan which involves the installation of new technology for the optimization of business processes, with the creation of a restricted zone for the customers area which will be accessible from the company's web, www.ilerdaserveis.com, so that each customer will be able to make his own orders, selecting the delivery addresses, with the prices listed, where he can download technical files on the products and also have access to information related with the last invoices issued, as well as the daily activities. The firm says that it has no plans to install an online shop with e-commerce methodologies at the moment, given that the sales are made on a professional scale. With respect to the management model that Ilerda uses, the firm explains that X3 is installed in an on-premises server within the organization, managing all the operative areas of the business. The only things that Ilerda Serveis keeps in the cloud now are the backup processes.
