Challenge and solution

Key challenge
After a decade with Sage X3 as the backbone of the business, the ERP needed to reach two areas that had been left outside: transport planning and the digital relationship with customers.
Aritmos Solution
Sage X3, integration with a TMS to manage transport, and a web order portal connected to the ERP, with automatic SMS updates to customers.
Implemented functionalities
Sage X3 ↔ TMS connector (routes, loads and shipment traceability); B2B order portal synced in real time with the ERP; SMS notification module for order confirmations and delivery status.
About Grupo Regany
Grupo Regany is a family-owned flour milling company with more than fifty years in the industry, producing baking flours and by-products from wheat milling. It operates through Aragonesa de Harinas and Harinera de Selgua, together with Regany Reñé and the group’s transport company, with plants in Binéfar, Selgua and Alguaire. It serves bakeries, food industry and distribution, and holds food safety and environmental certifications (ISO 14001, ISO 22000, IFS).

Before Aritmos and Sage X3

Problem areas

Orders managed manually
Customers placed orders by phone, email or fax and the internal team re-entered them into Sage X3 by hand. Every order meant double data entry and open room for error.
Transport planned outside the ERP
Routes, loads and shipment traceability lived in separate tools. Sage X3 did not receive logistics information in real time.
No digital channel for the customer
Customers had no self-service option to check their orders or the status of a shipment. Every question went through a call to the sales team.

Business impact

Lost time and transcription errors
Order confirmations were delayed and tied to office hours. Data entry mistakes were often caught late, once the order was already in the warehouse or on the road.
Higher logistics cost than necessary
Without a connected TMS, planning ran on less information than available and it was hard to consolidate routes or measure the real cost per shipment.
Team overloaded, customers waiting
Reactive support absorbed sales and office time, and customers lived with uncertainty about each delivery.

Our solution: a unified platform for growth

TMS integration with Sage X3
We connected a Transport Management System with the ERP. Route planning, load optimisation and shipment traceability now sync with Sage X3 without double entry. What happens in the warehouse and on the road is automatically reflected in the ERP.
Real-time web order platform
We built a portal where customers place orders directly. Each order is written to Sage X3 immediately: what the customer sees and what the internal team sees is the same, at the same time. The office stops transcribing and focuses on managing exceptions.
Automated SMS notifications
We added an SMS module that confirms the order, reports shipment status and pushes relevant updates. Customers know where their order is without having to call; the sales team gets time back.

The transformation: before and after

Before (with the previous system)

Manual orders
Phone calls, emails and manual entry into Sage X3. Slow confirmations and frequent transcription errors.
Disconnected logistics
Routes, loads and traceability managed outside the ERP. Fragmented information and planning with incomplete data.
Customers waiting on the phone
Customers called to ask and the sales team spent time on follow-up tasks.

After (with Sage X3 and Aritmos)

Real-time digital orders
Web portal connected to the ERP. Customers place their order and it is recorded in Sage X3 instantly.
TMS integrated with Sage X3
Transport planning and shipment traceability synced with the ERP. Single view of the operation.
Customers informed by SMS
Automatic updates at each order milestone. Customers know where their shipment is without asking.
